Why is Cleaning up Digital Files Important?

Just like in real life, a messy computer makes for a messy mind.

1. Saves time and increases productivity: With an organized digital space, it becomes easier to locate files quickly. This saves time and increases productivity.

2. Reduces stress: A cluttered digital space can cause stress and anxiety. Clearing up digital files can help reduce stress levels.

3. Saves storage space: As we keep adding files to our devices, it takes up storage space. Cleaning up digital files can help free up storage space.

4. Protects privacy: Old and unwanted files may contain personal information that can be a threat to your privacy. Deleting these files can help protect your privacy.

Tips to Declutter Your Digital Space

  • Organize your files: Categorize your files by creating folders and subfolders. This will make it easier to locate files. NAMING is very important. How many of you rely on your inbox to find important documents. When you receive a document – save it with a name related to the document. Make your filenames “make sense”. You can search documents in your folders or desktop based on name and date.
  • Use folders. I love folders, everything needs a folder- your kids, pets, school, etc.….Sign on to BOX or Dropbox, both offer free storage and the ability to organize documents in the cloud using folders.
  • Manage your inbox.

Make folders for incoming mail- divert the junk and spam. Check it occasionally but this will save you time- I promise! You can find Google’s own instructions for that here.

Delete, delete, delete. If you think you may use the information someday- archive it and get it out of your inbox. Forward information that is not relevant to you but might be to someone else. Unsubscribe is your friend. Do you really need to get an Old Navy email every day? The inbox should not be treated as a repository for emails you do not care about.

Don’t check your emails more than two times a day and have a designated time slot for it- this is hard but avoid checking emails when you do not have time to deal with them- this is how the inbox grows. •

Delete unwanted files: Delete old and unwanted files that are taking up storage space. Be sure to permanently delete these files to ensure they are not recoverable. •

Backup important files: It is important to backup important files to ensure they are not lost. Use cloud services or external hard drives for backups.

Cleaning up digital files is an essential task for maintaining an organized and clutter-free digital space. It saves time, reduces stress, protects privacy, and frees up storage space. Follow the tips mentioned in this blog to declutter your digital space and maintain an organized digital life.
